Terms and conditions
Introduction
These Terms and Conditions (“Terms”) form a legally binding agreement between The Wild Root Group Limited (registered in England and Wales with company number 16890505) (“we”, “us”, “our”) and you, the person making the booking (“you”, “guest”). Registered office: Ivy Cottage, Green Lane, Radnage, High Wycombe, Buckinghamshire, United Kingdom, HP14 4DJ. By making a booking or using our website, you agree to these Terms.
Nature of the Stay
The Wild Root is a rural, nature-led retreat set within an agricultural setting. By booking, you acknowledge the presence of uneven terrain, natural hazards and horses, and accept responsibility for your own safety throughout your stay. Guests must not enter any adjacent farm buildings, fields, fenced areas or restricted zones and must not feed any of the horses.
Bookings and Contract Formation
A contract is formed when you complete your booking and receive confirmation from us. The lead guest must be over 18 and is responsible for all payments and all guests included in the booking. By making a booking, you agree to these Terms, our Privacy Policy and any additional house rules or pre-arrival information provided before or during your stay.
Add-Ons and Extras
Any additional items or services selected at the time of booking, including but not limited to early check-in, late check-out or experiences, form part of your booking and are subject to these Terms. All such items are subject to availability and may be withdrawn or amended where necessary.
Payment
All prices are in GBP and include VAT where applicable. Payment terms are set out at the time of booking and must be adhered to. Time for payment is of the essence and all payments must be made in full without deduction or set-off. Failure to pay may result in cancellation of your booking.
Duration
This agreement continues for the duration of your stay unless terminated earlier in accordance with these Terms.
Arrival and Departure
Check-in is from 3:30pm and check-out is by 10:00am. Early check-in and late check-out may be available subject to availability and must be arranged in advance.
Use of Accommodation
The cabins are provided for private leisure use only. The maximum occupancy is two adults per cabin. Guests must not allow additional visitors or use the property for commercial purposes without prior written consent. Items provided within the cabin must not be removed from the property.
Guest Responsibilities
Guests must treat the cabin, its contents and the surrounding environment with care and respect. The accommodation should be left in a clean and tidy condition. You are responsible for any loss, damage or additional cleaning required as a result of your stay. You are responsible for the behaviour of all members of your party.
Site Rules and Conduct
Guests are expected to behave in a respectful and considerate manner at all times. Noise must be kept to a minimum and should not be audible outside your cabin. Quiet hours apply between 10:00pm and 7:00am. Parties, events and disruptive behaviour are not permitted. We reserve the right to restrict alcohol consumption or remove guests where behaviour impacts the experience of others. We reserve the right to require guests to leave without refund where these Terms are breached. Any illegal activity will result in immediate removal from site without refund.
Safety and Fire
Smoking and vaping are not permitted inside the cabins. Fires may only be lit in designated areas and must be supervised at all times. Use of all facilities and equipment is entirely at your own risk and any instructions provided must be followed. Guests must remain within the designated guest areas of the site at all times. Fire safety equipment must not be tampered with or disabled under any circumstances.
Vehicles
Vehicles must be parked in designated areas only. A maximum speed of 5mph must be observed and access routes must be kept clear. Electric vehicle charging is not permitted unless explicitly stated.
Restrictions
Pets are not permitted. The use of drones, fireworks, generators or any illegal activity is strictly prohibited and may result in immediate termination of your stay.
Cancellations and Changes
If you cancel or change your booking more than 6 weeks before your arrival, you may receive a full refund or move your stay to alternative dates. Within 6 weeks of arrival, bookings become non-refundable. We may consider requests to move your stay or offer a credit, but this is subject to availability and cannot be guaranteed. Bookings made within 6 weeks of arrival include a 48-hour cooling-off period, unless your check-in falls within that period. If you do not arrive and we have not heard from you, your booking will be treated as cancelled and no refund will be issued. Any bookings that are rescheduled become non-refundable. Refunds will be processed to your original payment method and may take up to 10 working days. If you choose to leave before the end of your stay, no refund will be given.
If We Cancel
In the unlikely event that we need to cancel your booking, we will offer alternative dates or provide a full refund. We are not responsible for any additional costs incurred, including travel expenses.
Requests and Arrangements
Any requests such as early check-in, late check-out or special arrangements are subject to availability and must be agreed in advance.
Termination
We reserve the right to terminate your stay immediately, without refund, if you breach these Terms or behave in a way that is disruptive, unsafe or unlawful.
Liability
To the fullest extent permitted by law, we accept no liability for any loss, damage or injury arising from your stay except where caused by our negligence. Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
Insurance
We strongly recommend that you take out appropriate travel insurance to cover cancellation, personal belongings and unforeseen circumstances.
Force Majeure
We are not liable for failure to perform our obligations due to events beyond our reasonable control, including but not limited to extreme weather, natural disasters, government restrictions or utility failures.
Third Party Services
We may use third-party providers for services such as booking systems or payment processing. We are not responsible for their content or services.
Intellectual Property
All content on our website, including text, imagery and branding, is owned by or licensed to us and may not be used without prior written consent.
Privacy
Your personal data will be processed in accordance with our Privacy Policy.

General
These Terms constitute the entire agreement between you and The Wild Root. If any provision is found to be invalid, the remaining provisions will continue in full force. We may update these Terms from time to time and may assign our rights under them. You may not transfer your booking without our consent.
Governing Law
These Terms are governed by the laws of England and Wales and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
Other
By booking and staying on the Woodland Champions Club site or using its facilities you agree to become a member of Woodland Champions Club and have your details shared. There is no fee for glamping membership and your details may be shared by Woodland Champions Club for the purposes of the running of the Club.
